Welcome to the implementation process of SMOWL, a tool designed to ensure academic integrity in your assessments.

By implementing our proctoring system, you can ensure that your academic programs maintain the highest quality standards, minimizing risks such as identity theft or the misuse of tools like ChatGPT during assessments.

This process will not only strengthen institutional prestige but also contribute to student well-being and retention, ensuring that your institution remains a reference point.

1.1. Identify Needs:

  • Reflect on the long-term objectives you wish to achieve with this implementation. How will SMOWL contribute to improving educational quality and the student experience?

  • Now specify the key impacts you expect to cover with SMOWL. These may include reducing identity theft, detecting fraud in real time, or creating a safer and more reliable environment for students.

  • Finally, determine in which academic activities (courses, exams, practical assessments, etc.) SMOWL will be used.

1.2. Assignment of Roles and Responsibilities:

Smowltech

  • Customer Success Manager: Responsible for ensuring that the project aligns with your needs and objectives.

  • Support Team Manager: In charge of providing technical support and resolving any issues that arise during implementation.

  • Invoicing team: Responsible for financial management and billing.

Entity

  • Platform Administrator: Responsible for integrating SMOWL into the LMS and configuring SMOWL in the course and/or activities.

  • Academic Body Representative: Responsible for aligning academic integrity criteria with SMOWL monitoring criteria.

  • Financial Officer: Responsible for receiving invoices and managing payments.

  • Finally, please let us know which roles should have access to the mySmowltech customer area and provide us with their email addresses: this site is usually managed by project managers and platform administrators. Day-to-day functionalities can be accessed directly from the LMS.

1.3. Project Timeline:

From the Smowltech team, we will provide a mutually agreed timeline, where the milestones and key responsibilities for final implementation will be defined. Make sure to review and approve this document to align expectations.

Upon approval of the timeline, we will proceed to schedule the necessary meetings to meet the milestones.

Additionally, it would be very helpful if you could provide us with your exam calendar along with the number of students scheduled for each exam so that we can offer you the best assistance throughout the year.
